Wedding Planning Apps and Online Tools

Wedding planning apps and online tools can make it easier to organize your budget, guest list, timeline, invitations, vendors and other details. But with so many tools available, you don’t need—or want—to use all of them.

The goal is to choose the tools that make planning simpler for you. Some couples may want an all-in-one wedding planning app, while others may need only a shared checklist, budget tracker or guest list.

This guide will help you decide which wedding planning tools are useful, what features to look for and when personal help from a wedding planner or coordinator may still be worthwhile.

How wedding planning apps can help

Wedding planning involves keeping track of a surprising number of details. The right app or online tool can give you one place to organize information and make it easier for both of you to know what has been decided and what still needs attention. Depending on the tool you choose, you may be able to:

  • Create and track your wedding budget
  • Build and manage your guest list
  • Keep a wedding planning checklist and timeline
  • Track RSVPs and guest information
  • Organize vendor names, contracts and contact information
  • Keep notes, ideas and decisions in one place
  • Share planning responsibilities with each other

You don’t need an app for every part of your wedding. In fact, using too many tools can make planning more complicated. Choose the few that solve a real problem for you and that both of you will actually use.

Types of wedding planning tools to consider

You don’t necessarily need one app that does everything. Depending on your wedding, you may find one or more of these tools useful:

  • Budget tracker
  • Guest list and RSVP manager
  • Wedding checklist and timeline
  • Wedding website and invitation tools
  • Vendor and contact organizer
  • Shared calendars, notes, and planning tools

Start with the areas where you most need help. Adding more technology doesn’t necessarily make wedding planning easier.

When an app isn’t enough

Wedding planning apps are good at organizing information, tracking tasks and sending reminders. They can’t make every decision, talk with vendors or manage everything that happens on your wedding day.

Whether you need professional help depends on the size and complexity of your wedding, your available time and how much of the planning you want to handle yourselves.

You might consider a wedding planner if you want help throughout the planning process. If you’re comfortable doing most of the planning yourselves but don’t want to manage details on the wedding day, a wedding coordinator may be enough.

The goal isn’t to hire help because you are supposed to. It’s to decide which responsibilities you want to handle yourselves and where additional help would make the experience easier.

Choose tools that fit your wedding

A small, informal wedding may require little more than a shared checklist, guest list and budget tracker. A larger wedding with multiple vendors, a large guest list and more complicated logistics may benefit from a more comprehensive planning system.

Don’t assume that more features make an app better. Features are valuable only if you actually need and use them. Before choosing a tool, ask:

  • Is it easy for both of us to use?
  • Does it handle the tasks we actually need?
  • Can we share information easily?
  • Does it work well on our devices?
  • Is it easy to keep updated?
  • Does the cost fit our budget?

The best planning system is the one you’ll actually keep using.

Pay particular attention to your budget and timeline

Your budget and timeline affect almost every other wedding decision. A useful planning tool should make it easier to see what you’ve spent, what remains to be paid and what needs to happen next.

You don’t necessarily need a specialized wedding app. A spreadsheet may work perfectly well. A dedicated app may offer conveniences such as reminders, automatic calculations, shared access or connections between your guest list, budget and other planning information.

Whichever method you choose, keep it current. Even the best planning tool won’t help if the information in it is several weeks out of date.

What about destination weddings?

If you’re planning a destination wedding, find out what planning assistance your venue or resort provides before adding more tools.

Some destination venues provide coordinators, vendor recommendations, planning checklists and other resources. You may still find an app useful for managing your personal budget, guest information, travel details or tasks that aren’t handled by the venue.

Keep the technology in perspective

Wedding planning tools should make planning easier, not become another part of the wedding you have to manage.

You may discover that one of you enjoys researching vendors while the other is better at tracking details and deadlines. Use those different strengths. Talk regularly about decisions, responsibilities and expenses so that both of you know where things stand.

Technology can help you organize the wedding. The two of you are still the ones creating it.
